Settings and preferences for a Displayr account can be accessed via the administrative page. A quick way to access this page is to click the cog icon at the top right-hand corner of the Displayr window, then select either "Account" or "Settings". The administrative page consists of a number of tabs each which presents a set of administrative functions.

Licenses

This tab lists the Displayr licenses which have been purchased and which are currently active. There will also be one or more "Add" buttons for purchasing a new license. Note that you cannot add Trial licences. Also, members of multi-user companies who are not company administrators will only be able to see their own licenses.

If you have an existing annual license and you click "Add" against it, you will be presented with a list of options:

Current year full license

Once you complete the purchase a new license will be activated which is equivalent to a new annual subscription in terms of cost and inclusions, however the new license will expire at the same time as your existing annual license(s). Any unused hours will be purged upon expiry.

This option may be useful in these cases:

  • You are a single user:
    • You have used your previous licenses' hours earlier than half-way through your license year (i.e. using 1 years' worth of hours in 6 months, such as by using more than 40 edit-mode hours per week on average), and you predict your usage will remain the same for the remainder of the year.
  • You are a company with multiple users:
    • You need to add a new user to your account and predict they, in combination with your existing annual license users, will use the full years' worth of hours before the end of your existing licenses' expiry date.
    • Your existing annual license users have used all the included hours.

Current year pro rata

Once you complete the purchase a new license will be activated which apportions the cost and inclusions of an annual subscription by how much of the license year remains. For example, if you purchased your first annual license three months ago, that means you are 25% through your license year. If you now purchase a "current year pro rata" annual license, the cost will be 75% of a new subscription, and the license will provide additional edit- and view-mode hours equivalent to 75% of a new subscription. All of your annual licenses will expire at the same time, with any unused hours being purged upon expiry.

This option may be useful in these cases:

  • You are a single user:
    • You have used your previous license's hours rapidly (more than 40 edit-mode hours per week on average) up until now and are close to exhausting those hours, but you plan to lower your usage to less than 40 edit-mode hours per week for the remainder of the licensing year.
  • You are a company with multiple users:
    • You need to add a new user to your account and predict they will use less than 40 edit-mode hours per week.

Next year

Completing the purchase will cause the system to activate a new annual license automatically when your current annual license(s) expire. Before that there will be no new license resulting from your purchase. This license type enables you to ensure continuity of access to Displayr after the expiry of your existing annual license(s).

This option may be useful in these cases:

  • You are a company which has not enabled auto-renewal:
    • You are close to your expiry date, and you wish to purchase an annual license for next year so that your access to Displayr will not be interrupted.
  • You are a company which has enabled auto-renewal:
    • You predict that your usage next year will be greater than this year (e.g. because a new employee is starting) so you wish to add an extra license on top of what has been created by auto-renewal.

Usage

The Usage tab can be used to extract fine-grained details of when your Displayr account has been accessed. If you are a sole user or a company administrator, you will be able to see edit-mode usage for all users as well as view-mode usage. You will also be able to filter the results by up to 15 users. On the other hand, if you do not have administrative privileges you will only be able to see your own edit-mode usage.

Up to 100 results are shown per page, however you can export all results to CSV (readable in Excel) by clicking the document icon to the right of the search boxes.

Please note that the time zone used for usage results and the search boxes is Coordinated Universal Time.

In the event that Displayr staff need to access a document in order to provide support, no edit-mode usage is recorded for staff.
